How to use Coppermind's cross-client tools for meeting tracking, daily summaries, weekly reviews, and follow-up management.


The Daily Rhythm#

Coppermind is designed around the natural rhythm of a fractional CMO's day:

  1. Start of day -- Cross-client summary to see what needs attention
  2. Before each meeting -- Meeting prep for the specific client
  3. After each meeting -- Log the meeting, capture notes, ingest transcript
  4. End of week -- Weekly summary across all clients

Cross-Client Summary#

"Give me a summary across all my clients"

Returns an at-a-glance dashboard for every active client:

  • Open commitments -- action items still pending
  • Recent memories -- new knowledge captured in the last 48 hours
  • Today's meetings -- scheduled meetings with follow-up status
  • Last activity -- when each client was last touched

Clients are sorted by urgency: those with the most open commitments and recent activity appear first.

You can adjust the lookback window:

"Show me client activity from the last 24 hours"

Meeting Logging#

After a meeting, log it:

"Log my 2pm meeting with Acme -- we discussed the Q3 budget"

This creates a record in the meeting log with:

  • Title and time
  • Associated client mind (if matched)
  • Match confidence (confident, ambiguous, or none)
  • Attendees (optional)

Calendar event dedup: If you provide a calendar_event_id, the same meeting won't be logged twice. It upserts on conflict.


Follow-Up Tracking#

After sending a follow-up email:

"Mark the Acme weekly sync follow-up as sent"

This updates the meeting log entry. The cross-client summary and weekly review track which meetings still need follow-ups.


Meeting Context#

For a deeper look at a specific meeting:

"Show me the context for the Acme weekly sync"

Returns:

  • Recent memories created around the meeting time
  • The most recent saved brief for the client
  • The meeting log entry with attendee and follow-up status

Weekly Summary#

"Give me my weekly summary"

A comprehensive rollup across all clients for the work week (Monday through Friday):

The date range defaults to the current Mon-Fri work week. On weekends, it shows the week that just ended.

Saving Outputs to Disk#

Any generated output (brief, report, content, etc.) can be saved to the client's local folder:

"Save that weekly summary as a report"

Coppermind writes it into the matching subfolder of the client's local folder:

Key Details#

  • Cross-client views don't need a client selected. They work across every client you own or have access to.
  • Logging a meeting is separate from capturing it. Noting that a meeting happened is one thing; pasting its transcript is what turns it into searchable memories.
  • Archived clients are excluded. Cross-client summaries and weekly reviews only include active clients.
  • Date handling: Weekly summaries default to Mon-Fri. On weekends, they automatically look back to the completed week.
